Free software that tracks who is due for service

ServiceIsDue is free software that tracks which customers are due for their next service visit. HVAC, plumbing, pest control, septic, chimney, pool, and any other business whose work comes back around every few months.

If you should be seeing the same customers again and again, it fits, whether that list lives in a spreadsheet, in QuickBooks, or in somebody's head.

What quietly costs you the repeat work

Not the customers you lost an argument with. The ones nobody called.

Six months becomes ten

The visit slips, then slips again, because the only list is somebody's memory. The customer starts to wonder what they pay for.

Nobody chases the quiet ones

One text goes out, no answer, and that's the end of it. The customer who needed a second try never gets one.

You can't say why they left

At year end there's no list of who didn't come back, and no reason written down, so nothing changes next year.

How ServiceIsDue tracks who is due for service

Three steps, and the middle one is the only one you do by hand.

STEP 1

See who's due

Import your customer list once, or add people by hand. We work out each next visit from the last one, whether that is 6 months or 2 years.

STEP 2

Remind them

Tap to text, call or email. On a phone it opens with the message ready to send from your own number. We count the tries, so nobody is forgotten after one.

STEP 3

Get them booked

Mark who answered and who booked. Your techs can flag a customer who needs a call back from the office.

Every Monday, the list comes to you

At 7am Monday, in your own time zone, one email lands: how many services are due this week, how many you still have to remind, and the first few by name. One button opens the list.

If nothing is due, nothing gets sent, so a quiet inbox means you are caught up. You can add up to five other people at the shop, and any of them can stop their own copy without stopping yours.

Reminders go out from your own phone, in your own words

Tap Text reminder and your phone opens with the message already written, ready to send from your number. Your customer gets a text from the shop they know, from the number they already have, which is why these get read and answered. Call and email work the same way.

At a desk, where a computer cannot send a text, the same button hands you the number and the message to copy, and counts the try when you say you sent it. Email opens a draft either way.

You keep the conversation, you keep the number, and your customer list stays yours. No messaging bill, nothing to set up with a carrier, and no marketing going out under your name that you did not write.

Ready to send from your number

Hi Dana, Ruiz Heating and Air here. You're due for your 6 month filter change. Want me to put you down for next week?
Nothing leaves until you press send.

At the end of the year, you'll know

Every customer who stops gets a reason written down: no response, said no, moved, went somewhere else. So instead of guessing, you can see your repeat rate and what it would take to move it.

The ones who said no are kept in their own list, with their notes, ready for a softer approach next season.

Common questions

Is there free software to track when customers are due for service?

Yes. ServiceIsDue is free software that tracks which customers are due for recurring service work. Import your customer list or add them by hand, set how often each service repeats, and it works out every next due date from the last visit. It is built for small home service shops, and there is no paid tier to upgrade to.

How do I know which customers are due for maintenance?

ServiceIsDue works out each customer's next due date from their last service date and how often that service repeats, then puts everyone due or overdue on one list. The list is in three steps: who still needs a reminder, who has been contacted and has not answered, and who is booked in.

Does ServiceIsDue text my customers for me?

You send them, and that is deliberate. On a phone, Text reminder opens Messages with the text already written, ready to go from your own number, so your customer hears from the shop they know. On a computer it hands you the number and the message to copy. Either way there is no sending system in the app, so no messaging bill and nothing to set up with a carrier.

What does it cost, and what is the catch?

Nothing, and no card. SolidPath AI builds custom systems and tools for small businesses, and free tools like this one are how shops find us. If you later want something built around how your shop works, that is the paid side of the business. If you never do, you keep the tool and owe nothing.

Can I import my existing customer list?

Yes. ServiceIsDue reads a spreadsheet, including an export from QuickBooks or whatever you keep customers in now. It shows you what it read before anything is saved, so you can fix the columns first. You can export the whole list back out to CSV whenever you want, from a button in settings.

What if I don't have a customer list yet?

Plenty of shops do not. Add customers by hand as you go, starting with the ones you already know are overdue, and the list builds itself from there. If you have something messy, an old invoice export, a phone contact list, a half finished spreadsheet, send it over and we will load it for you on a short screen share.

What if my service interval isn't 6 or 12 months?

Every service type carries its own interval, so a quarterly treatment, a twice a year filter change, a seasonal tune up and a septic pumping every few years can all sit in one shop. Each type also has its own reminder lead time, so a yearly renewal can start chasing 60 days out while a short interval waits until the week it is due.

Can I get my customers back out if I stop using it?

Yes, any time, without asking. Settings has an export button that hands you a CSV of your customers, their services and their dates. If you close the account, your data is erased from the live service within 30 days. The privacy page says exactly what is stored, who can see it and for how long.

Why is it invite only?

Because it is new and one person supports it. Invites go out in small batches, so every shop that joins gets a real answer when something breaks or is missing. Ask for one on the request page: it takes a minute and asks what trade you are in and roughly how many customers you have.

Who is this for, and who is it not for?

It is for a small home service shop whose work repeats: HVAC, plumbing, pest control, septic, chimney, pool, anyone who should be seeing the same customers every few months. It is not for you if you already run Jobber, Housecall Pro or ServiceTitan. They do this inside a bigger package you are already paying for.

If you run an HVAC shop, there is a page for that.

Can you build something custom for my shop?

Yes, that is the paid side of what we do. SolidPath AI builds custom systems and tools for small businesses: the report you keep rebuilding by hand, the two systems that do not talk to each other, the job that eats an afternoon every week. Free tools like this one are how most of those projects start. Say what you are trying to do in the box on the request page and we will answer.
