Which HVAC customers are due right now?

Every furnace and AC you serviced last year is due again this year. ServiceIsDue keeps that list for you, free: who is due, who has been reminded, and who never got a second call.

For residential HVAC shops running 1 to 5 trucks, with no field service package or one nobody uses for recalls.

Free software for tracking HVAC maintenance customers

ServiceIsDue tracks which of your customers are due for their next tune up, filter change or maintenance visit. It works out each due date from the last visit and the interval you set, and puts everyone who is due or overdue on one list. It is free, and there is no paid tier to upgrade to.

It is not a dispatch system and it does not run your schedule. If you already pay for Jobber, Housecall Pro or ServiceTitan, you have this already. This is for the shop that does not.

Furnace tune ups

before the heating season

AC tune ups

before the cooling season

Filter changes

every 3 to 6 months

Maintenance visits

once or twice a year

Humidifier pads and UV lamps

What the quiet ones are worth

Say you have 200 plan customers at $249 a year. That is $49,800 of work that should repeat. If 14 of them never got a second call, that is $3,486 that quietly did not happen, and it shows up on no report you own.

Run your own numbers instead of ours. The point is not the figure, it is that a customer who was never called does not cancel. They just stop appearing.

How it works in an HVAC shop

Three steps, and the middle one is the only one you do by hand.

STEP 1

See who is due

Import the customer list you already have, from a spreadsheet or a QuickBooks export. Each service type carries its own interval, so a spring AC visit, a fall furnace visit and a 3 month filter can sit on the same customer.

STEP 2

Remind them yourself

Tap to text, call or email. On a phone it opens with the message written, ready to send from your own number. At a desk it hands you the number and the message to copy. Either way the tries are counted, so nobody is dropped after one.

STEP 3

Get them on the schedule

Mark who answered and who booked. The ones still waiting stay in front of you instead of falling off the bottom of a list nobody reopens.

Nothing goes out without you

The reminder opens on your phone with the message written, ready to send from the number your customers already have for you. At a desk it hands you the number and the text to copy. Every try is counted, so the homeowner who ignored one text in March still gets a call before the season turns.

On Monday morning you get one email: how many services are due this week, how many are still waiting on a reminder, and a button that opens the list.
